Inviting team members and roles

Invite people to your workspace from Settings → Members, set their roles, and remove members who no longer need access.

You manage your team from Settings → Members. From there you can invite people to your workspace, set their role, and remove members who no longer need access. Everyone you invite works in the same workspace — same contacts, campaigns, designs, and reports — with what they can do controlled by their role.

Invite a team member

  1. Go to Settings → Members.
  2. Choose the option to invite a member.
  3. Enter the person's email address.
  4. Select their role (see below).
  5. Send the invitation.

The person receives an invitation email. When they accept, they either sign in to an existing Zalify account or create one, and your workspace then appears in their account. They do not need to sign up separately first — in fact, signing up on their own creates a brand-new workspace instead of joining yours, which is the most common confusion in this flow. Send the invite first and have them follow the email.

Roles and permissions

Each member has a role that controls what they can see and do in the workspace.

As a general pattern, expect at least a distinction between:

  • Admin/owner-level roles — full access, including Settings: billing, members, sites, sender domains, and developer settings.
  • Member-level roles — day-to-day work: building designs, sending emails, managing contacts, viewing reports, without control over workspace administration.

Give people the least role that covers their actual work. Billing and member management in particular should stay with as few people as practical — that's what limits the blast radius of a compromised account.

Remove a member

  1. Go to Settings → Members.
  2. Find the member in the list.
  3. Choose the option to remove them.

Removal takes away their access to the workspace; it does not delete work they created — campaigns, emails, and designs remain in the workspace.

Make removing departed teammates part of your offboarding checklist. A former employee with a live login to your customer data and email sending is a real risk, not a housekeeping item.

Seats and plan limits

The number of members a workspace can have depends on your plan.

If you've hit your seat limit, you can free a seat by removing an inactive member, or upgrade your plan. See Plans and what's included and Upgrading, downgrading and cancellation.

Troubleshooting invitations

The invite email didn't arrive. Have the invitee check spam, and confirm you typed the address correctly on the Members page.

The invitee ended up in their own empty workspace. They signed up directly instead of accepting the invitation. Have them open the invitation email and accept from there — the invited workspace will then appear in their account.

They accepted but can't do what they need. Check their role on the Members page — they may need a higher role for the task (for example, anything under Settings typically requires an admin-level role).
